Eaton Corporation Executive Assistant to Operations VP and Finance VP, ES APAC in Shanghai Shi, China

Bright, energetic , enthusiastic, intelligent, articulate, trustworthy, positive “can do” self-starter to support the VP in coordination senior management activities including reports, business reviews, customer meetings, supplier meetings and business communication. Requires advanced computer skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of management and staff, as well as customers and suppliers.

A. Assist in the preparation of documents (PowerPoint, word, excel) and as required take meeting minutes and follow-up to ensure close of action items.

B. Manage the managers’ travel Budget including monthly approval process. Responsible for making travel arrangements including booking flights, reserving hotels, registering for meetings and seminars, and car rentals. Also responsible for negotiating annual contracts with travel partners and suppliers.

C. Setup, coordinate and schedule meetings and conferences including global dial in and web meetings. Manage the managers’ calendar and schedule meetings at times that work best. Also responsible for reminders of upcoming meeting dates with time and location.

D. Ability to deal effectively with a matrix multinational company and culturally diverse population.

E. Highly motivated, results driven, with the ability to demonstrate problem solving and decision making skills.

F. Ability to embrace and promote change in a fast-paced environment.

Qualifications

A. Bachelor’s degree preferred

B. Strong English capability (read, write, speak)

C. Fluent in Mandarin Chinese

D. Proficient with Microsoft Excel, Word, Outlook, and Power Point

E. Must possess the highest degree of ethical standards and be able to deal with highly sensitive and confidential data

F. Excellent, succinct written communication skills

G. Strong professional presence with exceptional succinct communication skills.

H. Able to manage conflict

I. Excellent planning, organization and time-management skills

J. Highly motivated, self-starter able to work in a changing and diverse environment with very little work direction
