The purpose of this new Senior Administrative Assistant position is to provide EA / administrative support to the EVP/CTO’s Leadership Dublin Team by planning, executing and coordinating the overall administrative, events and finance workload based in our global headquarters in Dublin.
The successful candidate will be working closely with the Executive Assistant of the EVP/CTO, Global Technology, Finance, HR and IP Directors.
Your key deliverables will involve but are not limited to :
Calendar management (e.g. meeting management including managing action log, follow ups and identifying / managing calendar conflicts)
Organising and prioritising a wide range of domestic and global meetings (in person and teleconference/VC), managing all logistics, requesting papers where appropriate, checking attendance etc.
Ensure all agenda, packs and materials are compiled, printed and distributed before meetings
Monitor email correspondence and action where appropriate or escalate with a view to speedy resolution
Arrange global travel, liaising with internal and external contacts for all bookings. Ensuring visa’s, passports and itineraries are up to date, adhering to company travel policies
Office management (e.g. ordering stationary, etc)
Expense reconciliation and approval within timescales and policy
Build and maintain strong working relationship with Senior Management, colleagues at all levels and external key stakeholders
Preparation of monthly reports and presentations
Assist in onboarding of new joiners
Being actively involved in ad hoc projects, processes and initiatives
Do you have/Are you?
Track record of supporting Director level and Sr Managers in a complex multinational environment
Proficient in Microsoft Office Suite including Outlook, Word, Excel, Access, Powerpoint, Sharepoint.
Superior organizational and multi-tasking skills and dedication to completing projects in a timely manner
Have excellent interpersonal and communication skills, highly collaborative and work well within a team
Detail orientated and able to work in an extremely fast-paced work environment
High sense of urgency and prioritization and high degree of reliability, confidentiality, discretion, quality work and professionalism
